What absence types do you use in the HR portal?

When you file a leave request in the HR portal you must indicate a specific absence type. Here you find an overview of all different absence types, who may request them and how they are handled.

Sick part of the day

Who can use this absence type?

Employees who record working hours in the HR portal

What should you do?

  • To be used if you must leave work in the course of a work day due to illness. Record Sick part of the day from the time you leave your work place.
  • In addition, you must record the hours you were present on such a day as working hours in the HR portal to avoid minus time.
  • Your personnel manager must confirm the sick leave in the HR portal so that the time recorded as Sick part of the day doesn't result in minus time.

Who can use this absence type?

All employees

What should you do?

  • To be used to record absence from work due to illness.
  • This type of absence can only be used for entire days.
  • If you have a medical certificate, you must follow other routines.

Who can use this absence type?

All employees

What should you do?

  • To be used for self-certified sick leave due to psycho-social or physical conditions at the work place.
  • This type of absence can only be used for entire days.

Who can use this absence type?

Employees who are pregnant

What should you do?

  • To be used if self-certified sick leave is due to pregnancy-related problems.
  • A written agreement between the employer and NAV must exist before this type of absence may be requested as NAV refunds UiO for pregnancy-related absence of employees. Contact the Absence Group (e-mail).
  • This type of absence can only be used for entire days.

Who can use this absence type?

Employees who have a quota «Paid holiday leave».

What should you do?

  • When applying for a holiday leave you can use this type of absence.
  • This type of absence can only be used for full working days off.

Unpaid holiday leave

Who can use this absence type?

Employees who have a quota «Unpaid holiday leave». As a rule, this applies to employees who started working at UiO last year or in the current year.

What should you do?

  • When applying for a holiday leave you can use this type of absence.
  • This type of absence can only be used for full working days off.

Who can use this absence type?

All employees

What should you do?

  • This type of absence may only be used between 24 and 31 of December.
  • This type of absence can only be used for entire days.

Sick child/sick caretaker

Who can use this absence type?

Employees with children 12 years of age or younger, or in cases where NAV has granted "sick child days" for children over the age of 12

What should you do?

  • Presupposes that children 12 years of age or younger under your care are registered in the HR portal under Personal data, check user guide.
  • For children older than 12 a copy of the grant letter from NAV must be sent to the Absence Group in the Payroll Office.
  • This type of absence can be used for entire days or half days.

What should you do?

Senior paid leave

Who can use this absence type?

Employees turning 62 or more in the current year

What should you do?

  • Employees in a 100 % position receive 12 days of senior paid leave per year.
  • Unused days cannot be transferred to the next year.
  • This type of absence can only be used for entire days.
  • Contact your personnel manager or local personnel officer for more specific information.

Who can use this absence type?

Father/co-mother in direct connection with birth/reception of adopted child

What should you do?

  • Leave of absence beyond 14 days requires a written application.

Who can use this absence type?

All employees

What should you do?

  • In connection with exams it is possible to request leave for up to 21 work days.
  • This type of absence can only be used for entire days.
  • Contact your personnel manager or local personnel officer for more specific information.

Flexitime absence

Who can use this absence type?

Employees who record working hours in the HR portal

What should you do?

  • A surplus in the flexitime balance cannot be compensated through pay at the end of the employment period.
  • The balance is adjusted on 31 December every year: plus hours beyond 50 hours and minus hours beyond 10 hours are deleted.
  • Your personnel manager receives a report of all deleted hours after the year end.

Who can use this absence type?

Employees who earlier have recorded approved overtime as "Overtime w/flexitime (013)"

What should you do?

  • At the end of employment the unused overtime hours are paid out if they have previously not been taken out in paid leave.

Who can use this absence type?

All employees

What should you do?

  • To be used when applying for leave to attend Territorial Army exercises, events organised by trade unions, and lay judge/jury service.
  • The reason for the leave request must be described in the field “Note for Approver”. 
  • This type of absence can only be used for entire days.
  • Contact your personnel manager or local personnel officer for more specific information.
