Registering personal data: address, bank information, family members and communication

As an employee, you must ensure that your personal information is correctly registered in the HR portal.


Introduction

  • You can register or edit your personal data under Personal Information in the Employee Services window.
  • Select Personal Profile.

 

  • Here you can see your registered information.

 

Personal Data

Addresses

Register/change home address abroad

Initial registration and changes of a home address abroad must be done manually by the Payroll Office. Complete the form for bank information (pdf) and send it to the Group for salary payment at the Payroll Office.

Register/change home address in Norway

  • In the Addresses box, you can see your registered address.
  • To edit or add your address, select the pencil icon.

 

  • Enter your new address.
  • Select Save and Back to complete the action.

 

  • You can now see a confirmation of successfully saved data, and your new address in the Addresses box.

 

  • If you want to change your address for a limited time period, select Temporary residence.
  • Register your temporary address as described above.
  • You may select a specified time period for the validity of the registration.

 

Differing workplace and job post address

To make sure visitors and work mail find their way, employees with a workplace or job post address differing from the default address for their position, have to register this in the HR portal.

  • In the Addresses box, select the address you want to register, Differing workplace address, Temporary workplace address, foreign (to be used as job post address if you wish mail to be sent there), or Differing post address. You may have to select the expand icon to see all options.

 

  • Enter your new address.
  • You may select a specified time period for the validity of the registration.
  • Select Save and Back to complete the action.

 

  • You can now see a confirmation of successfully saved data, and the differing address in the Addresses box.
  • To delete or edit the registered address, select the trash bin or pencil icon.

 

Bank Information

  • Make sure that the correct bank account number is registered in the Bank Information box.
  • Foreign bank account: The change from a Norwegian to a foreign, or from a foreign to a Norwegian bank account, is done manually by the Payroll Office to ensure correct registration of IBAN, BIC and currency code.
  • Norwegian bank account: To change or register a bank account number, select the pencil icon.

 

  • Enter bank account number and select Save and Back.

 

  • You can now see a confirmation of successfully saved data, and your new bank account in the Bank Information box.

 

Family Members/Dependents

If you have children, it is important that you register their information in your profile. This information governs your Absence due to sick child quota. Upon first-time entry, you must inform your local personnel officer of the registration. For subsequent years, the quota will be automatically generated.

  • Select Child in the Family Members/Dependents box.

 

  • Enter the child's name and date of birth.
  • Select Save and Back.

 

  • You can now see a confirmation of successfully saved data, and your child's information in the Family Members/Dependents box.

 

  • Repeat the process to register more children.

It is also recommended, but not required, that you register next of kin to be contacted in the event of a work-related accident. Select Next of kin and follow the description for registering a child.

Communication: phone numbers and private e-mail address

  • Here you register the number of landline phone at your workplace (First telephone number at work) and possibly your work mobile phone (Mobile number, work). Use the format +47######. These numbers will appear on your personal presentation on the UiO website.
  • If you have two landline numbers at your workplace, register this in Secondary work phone. This number will also be displayed on your personal presentation.
  • You should also register private phone numbers and your private e-mail address so that the employer can contact you privately if necessary. Your private landline number and e-mail address will not be displayed on your personal presentation on the UiO website. For your private mobile phone number, you can choose whether it should be visible (register in Private mobile phone visible on website) or not (register in Private mobile phone).
