Work duty account for academic employees at the Faculty of Social Sciences

Work duty rates valid through Spring 2018

The work duty account is a tool for employers to distribute tasks among academic staff. Work duty regulations are set by the Dean. Department Heads and Centre Directors may add supplementary local provisions when approved by the Dean.

The work duty account regulates administrative and teaching tasks, the distribution of which often demands the coordination of many employees at a Department or Centre. Other tasks, including research, are generally carried out independently or in smaller groups; these are best administered by employees themselves and are therefore not included in the work duty account.

Tasks encompassed by the work duty account are either mandatory or otherwise approved by the Department Head or Centre Director. The work duty account applies especially to tasks carried out outside the Department/Centre, such as teaching at other University entities. Work compensated with a fee is not to be registered in the work duty account.

The hourly rates set out in the work duty account are based on standardized norms. The actual amount of time spent on a task may diverge from these rates. However, time spent on tasks should align with standardized norms when averaged out over time. It is the responsibility of the Department Head or Centre Director to ensure that individuals can carry out their assigned tasks in a satisfactory manner within the framework of these rates. It is the employee’s responsibility to ensure that the time they invest in assigned tasks reasonably reflects prescribed norms.

Work duty for administration and teaching

The work duty quota for administrative and teaching tasks is calculated as a percentage of total working hours. This percentage varies according to an employee’s position and age, as set out in the table below.

*The work duty quota for four-year Doctoral Research Fellows is 25 percent or 1695 hours. The work duty quota may be discounted in order to accommodate for fieldwork, research stays abroad and the like; up to two semesters may be defined as without teaching duties, reducing the work duty quota to 1272 hours. The work duty quota for Doctoral Research Fellows with three-year contracts with an option for a fourth year is set at 75 percent of the employment period after the third year (maximum 1272 hours).

Surpluses and deficits

Surpluses and deficits are calculated annually.

It is the responsibility of the Department Head/Centre Director to ensure that tasks are distributed in a manner that does not contribute to a significant surplus or deficit in an employee’s work duty account. A surplus or deficit exceeding the work duty quota for one semester should occur only under exceptional circumstances. In such cases, the Department Head/Centre Director and the employee shall make a plan to reduce the discrepancy within an acceptable timeframe.

Sick leave and other leaves of absence

In the case of long-term sick leave or other leaves of absence, the work duty quota may be reduced. The Head of Department/Centre Director determines the scope of the reduction. The work duty quota will normally be reduced to reflect the period of absence, without regard to when the absence falls during the course of the year.

In the case of short-term sick leave that prevents an employee from completing assigned tasks, and when the nature of these tasks makes it impossible to perform them out at a later date, the employee is to be credited for these tasks.

Guidelines for registering work duty

Work duty accounts are maintained by administrative staff and presented to academic staff with a deadline for submitting corrections.

Tasks are to be registered the semester in which they are performed, unless one of the following exceptions applies:

  • Summertime teaching is registered in the previous Spring semester.
  • Exam-related tasks are registered in the same semester the exam is held.
  • Grading appeals against exam grades are registered the following semester.


Applicable standardized rates are presented below. As explained in the introduction, these rates are based on normative expectations for these tasks.

Doctoral Research Fellows and other fixed-term employees receive an additional 10 hours for new teaching duties (lectures, seminars).


Supervision of master students

Assignment, 45-60 ECTS: 40 hours

The distribution of hours between the main supervisor and any secondary supervisor is to be agreed upon at the outset.

Supervision of PhD candidates

180 hours.

The distribution of hours between the main supervisor and any secondary supervisor(s) is to be agreed upon at the outset.

120 hours are to be registered the first three years. The remaining hours are to be registered once the candidate has submitted their dissertation.

*The rate for oral exams is based on a 30-45 minute exam.
