What can I store in MS365: OneDrive, SharePoint and Teams?

  • The MS365 applications are not intended to replace existing workflows. If you are unsure where data that needs to be retained should be stored, ask your nearest line manager.
  • The MS365 applications are also not meant to replace Canvas or other preferred tools, but can be used alongside them.

What categories of information can be stored in MS 365 tools and applications?

The IT security manager's decision is that data of these classes can be stored in MS 365 programs and tools:

  • Green – open
  • Yellow – internal
  • Red – confidential

Justification

The decision has been made for security reasons and to comply with the IT regulations and Norwegian personal data legislation.

Storage of sensitive data

Administrative data classified as red data (confidential data) can be stored in MS365. If you do so, the document containing red data MUST be labeled with a sensitivity label.

It is desirable that this data is stored in MS365 only temporarily and that it is moved to the case and archive system or another storage location when MS365 functionality is no longer needed.

Research and teaching data must not be stored in MS365.

Black data (strictly confidential data) cannot be stored in MS 365.
