Book a trip

UiO has an agreement with the travel agency Berg-Hansen. You can book business trips through Berg-Hansen's travel portal or app.

Travel in an environmentally friendly way

  • If the train journey takes less than eight hours, choose to take the train at least one way.
  • Borrow an electric car for work trips through UiO's electric car pool. This also means you don't have to fill out an expense report.
  • Choose an electric car when booking a taxi.
  • Choose hotels with an eco-label. Look for the eco-label (a leaf) when booking.

Guidelines for business travel at UiO

How to book a trip

  • Apply to have your trip approved by your manager. Units at UiO do this in different ways: email, verbally, in the DFØ app or in the Self-Service Portal (dfo.no).
  • Book trips by train, plane, rental car and hotel through Berg-Hansen's travel portal or Berg-Hansen's app. If you need to use another company, check with your manager.
  • You must pay for travel and other expenses with a bank card. You can use your private card or Eurocard Corporate Gold, which UiO has an agreement with.

Tips for international train travel

Bus Travel

Bus travel cannot be booked through Berg-Hansen. If you would like to travel by bus, you can book it yourself, contact a travel consultant at Berg-Hansen, or book through your unit.

Hotels

  • Hotels in Norway and abroad should be booked through the Berg-Hansen app or travel portal.
  • Choose the hotel with the lowest price that meets your needs.
  • Eco-certified hotels are marked with a leaf logo.

Hotels in Norway

UiO is affiliated with the state's common agreement for hotel accommodation in Norway. The hotels in the agreement have committed to taking environmental considerations into account. You cannot earn bonus points or personal benefits when using the agreement.

Hotels Abroad

The state hotel agreement does not apply abroad. Berg-Hansen has negotiated good prices on hotels around the world. You can easily find these hotels in the app or travel portal. If you cannot find the hotel you are looking for, you can contact a travel consultant at Berg-Hansen or your travel booker.

Longer Trips and Conferences

If your trip is intercontinental or has multiple stops, we recommend that you get assistance from a travel consultant at Berg-Hansen.

Berg-Hansen's Meeting & Events department can help you with:

  • Conferences in Norway and abroad: You will be assigned a project manager from Berg-Hansen who will assist with mapping, obtaining offers, booking, and implementing the event.
  • Group trips with nine or more people.

Expense Report

You can fill out an expense report in the Self-Service Portal or in the DFØ app. Read more about expense reports at UiO

Cancellation and Refund

You can cancel your trip and hotel in the Berg-Hansen app or by contacting them by email or phone.

If you have to cancel, you may be able to get a refund in some cases. If the trip was paid for with a credit card, you are covered by the card company's insurance.

Berg-Hansen follows the cancellation rules of its partners.
