UiO’s affiliation instructions and guidelines for different Groups.

UiO’s main rules for affiliation in academic publications:

  1. An institution must be quoted as the author's affiliation in a publication if the institution has made a necessary and material contribution to or provided a basis for the author's contribution to the published work.
  2. The author in question must also cite other institutions as the author's affiliation if these in each case also satisfy the requirement in point 1.
  3. Employment or supervisory responsibility can be considered justification for crediting an institution if the requirement in point 1 is met.

Affiliation for academic employees at UiO

UiO employees who write or co-write a publication should use “University of Oslo”, "UiO" or “Universitetet i Oslo” as their author affiliation for publications based on research carried out as an employee at UiO.

The author in question should also credit the other institutions in the publication if the requirement in point 1 above is met.

When using two or more institutional author affiliations, these should be quoted as follows: "The University of Oslo and XXX institution", or the equivalent in other languages.

The affiliation where the author has the main position must be specified first.

Employees in positions without a research component at UiO cannot use UiO as their author affiliation in publications if UiO has not made a necessary and material contribution to or provided a basis for the published work.

Affiliation for UiO doctoral research fellows

Like other academic employees, doctoral research fellows employed at UiO must specify an affiliation to UiO in their publications when the publication is a product of work performed as part of their employment at UiO.

The author in question must also credit the other institutions in the publication if the requirement in point 1 above is met.

Externally employed doctoral research fellows must quote UiO as their author affiliation in the publication if UiO has made a necessary and material contribution to or provided a basis for the published work. Actively exercising supervisory responsibility in relation to the relevant publication constitutes a sufficient contribution.

The author in question must also include their principal employer’s affiliation on publications if the requirement in point 1 above is met.

Affiliation for externally paid researchers who are affiliated to UiO

We request that all units encourage externally paid researchers to include UiO as the author's affiliation in line with good practice for crediting partners if the requirement in point 1 above is met.

Affiliation and crediting for employees of both Region South-Eastern Norway Regional Health Authority (RHF) and UiO

The liaison committee for RHF and UiO has adopted the following guidelines for affiliation and crediting of academic publications:

  1. An institution must be quoted as the author's affiliation in a publication if the institution has made a necessary and material contribution to or provided a basis for the author's contribution to the published work. This applies regardless of the author's formal employment.
  2. The author must also cite other institutions as the author's affiliation if these in each case also satisfy the requirement of point 1.
  3. Employment or supervisory responsibility can be considered justification for crediting an institution if the requirement in point 1 is met.
  4. University and university college employees in combined academic positions with regional health authorities/hospitals should generally include the affiliation of both their own academic institution (university or university college) and health authority. This also applies to part-time positions at universities/university colleges, and is irrespective of how the position is funded.

The reason for including point 4 for this group of employees is that the research that takes place jointly between the health sector and higher education sector is generally of such a nature that it is difficult to distinguish between the various institutions' contributions. This is also in line with the normal practice regarding intellectual property rights for discoveries by employees in combined positions.

Examples of affiliation

If the author is crediting the Institute of Basic Medical Sciences at UiO and Oslo University Hospital, the affiliation can be quoted as:

Institute of Basic Medical Sciences, University of Oslo and Oslo University Hospital

or

1. Institute of Basic Medical Sciences, University of Oslo

2. Oslo University Hospital

In order for an institution to be able to approve a publication, either in whole or in part, for reporting to DBH, the institution's name must be stipulated as the author's affiliation in the actual publication. The institution's name is "University of Oslo/ Universitetet i Oslo/UiO". If only the faculty/department/centre is listed as the author's affiliation, this is insufficient, and the publication will not therefore be credited to UiO.

All author affiliations that are stipulated in the publication must be registered.
