New at the Department of Mathematics

Welcome to the Department of Mathematics! Here you will get an overview of what awaits you the first days and weeks in your new position, as well as some information about practical conditions. 

Prior arrival

You will receive an email from the Department webmaster where you are asked to send a photograph and answer some questions. Please reply to this email as soon as possible. 

Based on the information you provide you will be added to the Staff List and the New Faces webpage. A personal profile page will be established for long-term guests and employees. You are expected to maintain/update your profil page yourself. Read more about how to edit your profile page.

New in Norway 

When you move to a new country there is a lot of practical matters you need to take care of. Please visit UiO's support site for international researchers, where you will find a lot of useful information about being new in Norway.

UiO has a limited number of guest researcher units for rent for a limited period of time. Read more about researcher housing at UiO.

Getting around at UiO (how to get to campus, where to park, buildings etc.)

Upon arrival

Upon arrival you`ll be well taken care of by your leader/the one appointed by your leader. 

First day

  • Get an office space
  • Guided tour and presentation round at the Department/section
  • Access to IT-systems, included an e-mail account
  • Receive office keys and employee ID card. 

First weeks

Section leaders: The Department has 6 different sections, where each section consists of one or more research groups. Upon arrival, please contact Head of Office and/or your Section Leader to be allocated an office space. 

PhD student contact: Tale Ulfsby and Amanda Padlesak are helping PhD students from start to finish at the Department. 

HR-officer: Ole Rustad can answer questions about wages and work contracts etc. 

Research administration : Elisabeth Havsberg Seland offers support in proposal writing and project administration and all other matters related to external funding at the Department. She also administers the Departments travel funds and she is the superuser in Cristin (national system for registering academic activities and results). 

Reception

The reception office on the 7th floor is open Monday - Friday 09:00-14:30. They can help you with practical issues like key card, procurements, office supplies, researcher housing, hotel booking etc. Please use ekspedisjonen@math.uio.no to contact them.

Office supplies (like pencils, papers, markers, post-it etc.) can be found in the reception, just go and help yourself to whatever you need. They can also order supplies you find are missing. 

IT services

In order to get an UiO user account you need to contact local IT-support at the Department. You can find them on the 7th floor, room 701. You can contact them by dropping by or send them an email at drift@math.uio.no.  The UiO user account will give you access to the Department’s servers, and an email address (username@math.uio.no) will be assigned.

Social activities

Every Friday there is a departmental football game in the sports hall. Everyone is encouraged to participate, no prior knowledge is required. Contact Yngvar Reichelt for more information.

Different social events for PhDs and PostDocs: PhD lunch once a month, welcome dinner. 

The Department hosts a Christmas lunch in December and a summer party in June. In addition the different sections and research groups arrange different social meetings and events(lunches, informal gatherings). Contact your Section leader for more information.

Other useful information

Working hours

  • Technical/administrative staff: 08:00-15:45 (08:00-15:00 in the period May 15th to September 14th.) Core hours between 09:00-14:30 all year. 
  • Academic employees have the same working hours all year, and the 30-minute lunch break is unpaid and comes in addition to the 37.5 hours a week.

Mail

The mail room is located in the printer room on the 7th floor. The mail is sorted by last name, so you have to search through the mail box to check if you got mail. In the same room you`ll also find a box for outgoing mail. If you need to send mail/packages abroad, please contact the reception for more information. 

Be sure to use the correct address to the Department so your mail does not disappear.

Information and websites

  • There is a lot of new and important information for new employees, and we suggest that you start with the "New at UiO" - website to get an introduction. 
  • UiO`s website reflects the basic organizational division into three levels: UiO central, faculty level and department level.
  • Information is organized according to topics and target groups. 
  • To get to your personal start page and information aimed specially at employees, you just click on "For employees" in the menu on all websites. You can tailor your personal start page to meet your needs. 

Printers

Printers are located on all floors (7-11th), and they all have a pull-print function. This means that whenever you print something from your computer, you can collect your prints using your employee ID card at the printer of your choice. To take a copy you do not need a card.

Telephone

All individual offices have office phones. To call within UiO; use the 5 last digits of a phone number. To make calls outside of UiO; press 0 first and then the number. 

Loan of books

Employees do not receive funds to buy their own books, but they can have library books on "long-term loans" for as long as they need them. If a book is not available at the library, contact them (Karoline Moe) and the library can buy it. The reason we do it like this is to avoid unused books being left to fill up the offices, and that the books you do not need come in handy for others at the library.

Absence from work

If you cannot attend work due to own or your child's illness, you must notify your immediate superior at once. -this means Head of Office, Yngvar Reichelt (228 55883), or the reception (228 55888). This is especially important if you are lecturing or holding meetings that day. Absence should also be registered in the self-service portal. Please visit the UiO webpage on illness to familiarise yourself with the routines, rights and obligations that apply to sick leaves.

Travel

All travel must be approved in advance and carried out in an environmentally friendly and cost-effective way. Read more about environmental friendly actions at the Department. For questions about who can approve travel and where to find funding, contact Elisabeth Seland

All travel must be booked through UiO's travel agency. You should use a credit card to cover travel expenses. Special preparations are required for extended stays abroad.

In order to get reimbursement for travel expenses you have to fill out a travel expenses claim form. You fill out the form in the Self-service portal Contact reiseregninger@math.uio.no if you need help with this. (Or ask a colleague).

Teaching

Teaching often involves many people, as such, it is important that you follow procedures so that everything goes as smoothly as possible. Most of the procedures are outlined here. Please contact the student administration at studieinfo@math.uio.no for organization and planning of teaching. All sections have their own representatives in the educational committee. They are responsible for the course list and for choosing lecturers.

Teaching Skills Courses

All employees in permanent positions or in II-positions are required to have basic competence in teaching skills in order to work at the University. This expertise must be documented or obtained during the first years of employment. On this basis, the University has developed teaching skills courses of various types for the different positions. The University Senate has resolved that participants are entitled to a reduction in teaching obligations while they are attending these courses. You must obtain course literature yourself, but everything else is for free. It is possible to follow these courses even if you can already document the necessary competence. These courses are also offered to PhDs and postdocs interested in obtaining such competence. Read more about Teaching and Learning in Higher Education.
